What Is Digital Faxing?


Digital faxing allows users to send and receive faxes electronically—no physical fax machine required. All fax activity is handled through the Qvara platform, making it faster, paperless, and accessible from anywhere with an internet connection.



Sending a Digital Fax


To send a fax directly from the Qvara portal:

1. From the left pop-out menu, go to: "UC User" → "Digital Faxing"



2. You'll see a list of fax-enabled phone numbers tied to your account. Click on the number you want to send the fax from.



3. Click the “+ Send Fax” button in the top right corner.



4. Complete the fax form:
  1. Recipient Number: Enter the recipient’s phone number manually or select one from the saved Phone Book.
  2. File Upload: Click to browse or drag-and-drop PDF files into the upload area.



5. Click “Send” to transmit your fax.

Notes
Faxes are transmitted securely and delivered to traditional fax numbers or other digital fax recipients.



Managing Faxes


Once inside the Digital Faxing section (after selecting a fax number), you'll have access to the following features:

  1. Inbox
    1. View all received faxes.
    2. Click on a fax to preview, download, or print.
  2. Sent
    1. Review all sent faxes and their delivery statuses.
    2. See timestamps, recipient details, and PDF attachments.
  3. Cover Page Settings
    1. Enable or disable automatic cover pages.
    2. When enabled, a standard cover sheet (with your name, number, and optional message) is added to outgoing faxes.
  4. Notifications
    1. Stay informed when faxes are received or sent:
      1. Click “Add Recipient” to assign an email address for notifications.
    1. For each recipient, you can:
      1. Toggle confirmation emails for sent faxes
      2. Choose to attach a PDF copy of the fax in the notification email

Tip: Use this to keep team members informed of incoming faxes without logging into the portal.

Alert
Important Reminder:
  1. Where applicable, be sure to click "Update"  at the bottom of the screen to save your changes before navigating away.
  2. Once you are done making changes, click the "Apply Changes"  button on the left to make sure the system updates properly.
    1. Note: You can either apply changes immediately or schedule a date/time for the system to update to avoid interfering with business hours.
