What Does "Device Provisioning" Mean?
Device provisioning is the process of configuring IP phones or softphones so they can connect to your phone system with the correct settings. This includes assigning extensions, voicemail destinations, and provisioning profiles. It ensures devices are ready to use with minimal manual setup.
Adding a New Device
1. From the main menu on the left, navigate to: "UC Admin" → "Extensions and Devices" → "Provisioning Devices"
2. Select “+ Add Device” in the upper right corner.
3. Complete the form with the following required information:
Label (device name)
Inherit From (optional: select an existing profile or template to copy settings from)
Device Profile (defines keys, firmware, behavior, etc.)
MAC Address (for physical phones)
Serial Number (often for softphones or mobile apps)
SIP Account details:
Assign an Extension
Choose Voicemail Destination (self, remote, or disabled)
4. Select “Add” in the bottom right to complete provisioning.
5. Once the device is provisioned, you’ll be redirected to a page where you can further customize the device (refer to Step 2 in the Management section below).
Managing and Customizing Existing Devices
1. From the main menu on the left, navigate to: "UC Admin" → "Extensions and Devices" → "Provisioning Devices"

2. From the list of existing devices, select the device label or the three vertical dots next to the device you want to manage and then "Edit".
3. You'll have access to several configuration tabs:
- General
Label, Description, and Notes:
Text fields used to identify and describe the device for internal reference.
- MAC Address, Serial Number: unique network and device identifiers
- Phone Number: used for SMS/MMS-capable devices
- Replication Options:
- Copy this device: duplicates this device’s current settings to quickly create a similar configuration.
- Save as Template: saves the current configuration as a reusable template for future devices.
- Provisioning
- Provisioning Credentials for softphone setup:
- Open the Cloud Softphone app and choose "Scan QR" at log in, then scan the QR code shown here.
- Alternatively, select "Email Provisioning Instructions" to send a setup link.
- SIP Account Configuration:
- Assigned Extension: the internal number assigned to the device for making and receiving calls
- Voicemail Destination: self, remote, or disabled
- Advanced
- SIP Servers & Geography:
- Preferred Point of Presence (POP) location: the recommended server location your device connects to for optimal call quality and speed.
- Timezone
- SIP Transport Type: specifies the transport protocol used for SIP (e.g., UDP, TCP, or TLS)
- Network Settings:
- Toggle DHCP DNS: allows the device to automatically receive DNS settings from the network
Set Public DNS 1 and 2: option to manually assign Domain Name System servers for redundancy or custom routing
Enable CDP (Cisco Discovery Protocol) or LLDP (Link Layer Discovery Protocol): network discovery protocols that help devices identify and communicate with each other on the local network
- Security/Advanced Options:
- Choose Firmware Channel:
- Stable – thoroughly tested version recommended for most users
- Beta – newer version with early access to features, but less tested
- Set Device Password: used for secure access to the device interface
- Enable or disable Web Management Access: allows or blocks web browser access to the device’s admin interface
- Phonebooks
- Assign an existing Phonebook to the device for directory access.
- Keys
- Configure BLF (Busy Lamp Field) keys
- BLF Keys: Buttons or indicators on a VoIP phone that show the real-time status of other extensions (e.g., idle, ringing, busy, on a call).
- Helpful for receptionists and operators to monitor availability before transferring calls.
Be sure to click “Update” at the bottom of the screen to save your changes before navigating away.
