What is an Automation?

An automation is a tool that lets you schedule phone system actions to happen automatically, without needing to manually trigger them. For example, you can set a call to forward to a different number during certain hours, or play a pre-recorded message on a specific date.

Think of automations like setting a calendar reminder—but instead of reminding you, it tells the phone system to do something at a scheduled time.

Note: This section is designed for Basic/UC Users. If you're an administrator or reseller, automations should be managed under the UC Admin → Call Control Apps → Automations section, which offers more advanced configuration options.



Managing Automations


To view and manage your assigned automations:

1. From the left pop-out menu, go to: "UC User" "Automations"



2. You’ll see a list of accounts you have access to. Click the account name, or use the account dropdown in the upper right to filter.



3. Once inside the selected account, click the purple label of the automation you want to manage.



4. You’ll see two tabs across the top:
  1. One-Time Runs
    1. Use this tab to schedule a single occurrence of the automation (e.g., trigger an action on a specific date and time).
  2. Recurring Runs
    1. Use this tab to schedule the automation to run regularly (e.g., every Monday at 9 AM).
5. In Either Tab, You Can:
  1. Add a New Run
    1. Click the purple “+ Add Run” button in the upper right.  
    2. Fill out the form:
      1. Label: A name for this run
      2. Date/Time (for one-time) or Schedule/Repeat settings (for recurring)
      3. Timezone: Choose the appropriate time zone
    3. Click "Add" to save.
  2. Edit or Delete an Existing Run
    1. Click on the label name or the three vertical dots to the right of any run.
    2. From here, you can update the run's schedule or delete it entirely.
  3. Manually Run an Automation
    1. At any point, you can click the purple “Run Automation” button in the upper right to manually trigger the automation.



    2. This is helpful if you want to test it or need the action to run immediately without waiting for its scheduled time.



Helpful Tips for UC Users:


  1. You cannot change the core automation settings (like the action itself), only the schedule for when it runs.

  2. If you don’t see any automations, your administrator may not have assigned any to your account.

  3. Use clear labels when adding new runs to help you stay organized (e.g., “Forward After Hours”).
